Check a letter before exporting and printing it

Review names, placeholders, pagination and output settings so a finished PDF says what you intend at a readable size.

Proofreading the text and inspecting the page are different jobs. A letter can contain correct words but have a closing stranded on another page, or a beautiful layout with the wrong recipient's name.

Review in two passes: first the meaning and details, then the printed presentation. Keep a copy of the editable text until the final PDF and print have both been checked.

First pass: inspect the information

Read names, dates, amounts and reply details separately from the prose. Search for brackets or placeholder words that a template might still contain. Confirm that the opening states the purpose and that the recipient can see what response, if any, you are asking for.

Compare the text with any attachments you mention. A letter saying 'enclosed' should have the enclosure ready; an email attachment should actually be attached. Remove references to documents you decided not to send.

Second pass: inspect every page

Check the full-page preview from the first line to the closing. Look for awkward page breaks, clipped characters and a very small last line that is difficult to read. A handwriting style can need different spacing from the typed draft.

Print a single test page when using a new printer or layout. Confirm the selected paper size, scaling and margins. If the printer uses a different paper size, inspect the result rather than assuming 'fit' preserves the layout exactly.

Finish the document deliberately

Give the final file a clear name and distinguish it from earlier drafts. If a signature is needed, check the recipient's requirements and sign appropriately; Elyaz does not generate a signature for you.

Elyaz provides free full-page handwriting previews and keeps letter contents on the phone. Its Pro features include A4 PDF download, printing and sharing. Whether a document is accepted depends on the recipient and the type of document, not on a handwriting effect or a PDF's resolution.

  • Check the first and last lines of each page.
  • Verify that your chosen reply details are correct.
  • Keep sensitive drafts in an appropriate place.
  • Inspect the final print, not only the screen.

Questions, answered

Does a 300 dpi PDF guarantee a good print?

No. Paper size, scaling, margins, printer condition and the original layout still affect the result.

Can I assume a printed handwriting letter is accepted everywhere?

No. Check the recipient's required format. A letter's appearance does not establish its administrative or legal suitability.
