Decide what the meeting should accomplish
Write one sentence describing the question to discuss or the decision to make. Add only the background needed to understand that purpose. If you are sending attachments, name them and make clear whether they need to be read beforehand.
Offer a manageable duration and a couple of possible times with a time zone when relevant. If your availability is uncertain, ask which scheduling method the recipient prefers rather than offering times you cannot keep.
An original plain-text outline
Dear [name],
I would like to arrange a [duration] meeting to discuss [specific purpose]. The main points are [point one] and [point two].
Would [first date and time, including time zone] or [second option] work for you? If neither is suitable, please suggest another time or your preferred way to arrange it.
[Optional: I have attached or enclosed [document] for context.]
Thank you,
[your name and a suitable reply method]
Check the request before preparing a page
Replace every placeholder and verify dates against the calendar. Specify whether the meeting is in person, by phone or online if that choice matters. Do not include a private address or phone number that the recipient does not need.
For a printed letter, review the recipient block and leave a straightforward way to reply. Elyaz can create an A4 preview in your own handwriting; Pro enables export. This page also supplies the outline as plain text so that the content stays editable before you choose its presentation.
- Keep the purpose specific.
- Avoid an agenda longer than the requested meeting.
- Confirm the appointment separately after receiving a reply.
